Job Description for Executive, Administration and Procurement

The Executive will be part of an Administration and Procurement Group, and execute the following;

Security & Documentation & Administration

  • Coordinate, maintain, and update the records of classified documents, media, laptops, keypresses, staff security clearances in accordance with Security Standard Operating Procedure. Support security audits conducted by external parties. Perform the physical delivery of classified media and documents to various sites.  
  • Perform administrative functions including tracking and filing of contracts, maintaining and updating records of assets via software tools.  Maintain the functionality of common assets (e.g. printers, scanners, common PC).
  • Coordinate department needs such as office housekeeping, supply of consumables and staff welfare activities.

Procurement & Warehousing

  • Prepare and process purchase requisitions, purchase orders and track & report on the status of the procurement.
  • Perform end-to-end logistics activities, covering coordination and movement of inventory, warehousing management.

Requirements:

  • 2 years of experience in operations, in administration, or project support within an engineering or tech environment.
  • Experience with MINDEF security processes, workflow and environment will be an added advantage.
  • Diploma in general discipline.
  • Comfortable managing classified or sensitive documentation with strong compliance and audit sensibility.
  • Collaborative team player who can step in and cover across functions when needed.
