Job Overview:
We are seeking a proactive and organised Project Coordinator to support the operations and administration of a large-scale nationwide project. The role involves coordination between internal teams, vendors, and stakeholders to ensure smooth project execution and accurate documentation.
Job Responsibilities:
Project & Stakeholder Coordination
- Act as the central point of contact for coordination between internal departments, external vendors, suppliers, and relevant authorities.
- Schedule, follow up, and ensure timely communication and alignment among all parties involved.
- Support the Project Manager in planning and tracking project activities, technician rosters, and daily operations.
- Prepare and update project progress reports and ensure issues are flagged and resolved promptly.
Administrative & Documentation Support
- Handle general administrative duties including filing, documentation, and data entry.
- Maintain accurate, up-to-date records and ensure proper documentation practices are followed.
- Support the preparation and processing of contracts, documents, and forms related to vendor creation and project activities.
- Assist with weekly / monthly reporting, data compilation, and tabulation for internal and external reporting needs.
Finance & Billing Administration
- Prepare invoices and billing reports for customers and vendors.
- Receive and verify vendor invoices before submitting them to the Finance department for processing.
- Ensure timely and accurate billing and payment tracking.
Other Duties
- Perform any ad-hoc tasks as assigned by the Project Manager or management team.
Requirements:
- Diploma or equivalent in Business Administration, Project Management, or related fields.
- Prior experience in administrative or project coordination roles is preferred.
- Proficient in MS Office (Excel, Word, PowerPoint) with good data organisation and reporting skills.
- Strong interpersonal and communication skills.
- Meticulous, resourceful, and able to multitask in a fast-paced environment.
