The Business Admin, reports to the Head of Delivery, Enterprise Communications Business Unit and is responsible for ensuring the smooth operation of the business unit. This role will be involved in post-sales operations, delivery support, coordinating administrative functions, and facilitating communication across departments to enhance efficiency and productivity.

Administrative Support

  • Process Sales Orders: Receive and process sales orders/project intake accurately and efficiently, ensuring all required information is complete. Coordinate with various departments, such as production and logistics, to ensure timely order fulfilment.
  • Maintain Delivery Sales Database: Create, update and maintain the Delivery sales database by entering new customer information, updating contact details, and recording interactions and sales activities. Ensure data integrity and accuracy.
  • Support in Delivery Reporting: Assist Head of Delivery to prepare and generate Delivery reports, including Delivery performance, inventory levels, and customer analytics. Provide regular updates on Delivery metrics to the Head of Delivery and management.
  • Handle External Inquiries and Correspondences: Respond to customers’ inquiries promptly (within SLA) and professionally via email, phone, or in-person. Provide information about products, pricing, availability, and delivery schedules. Assist in resolving customers’ complaints and/or issues by liaising with relevant departments.
  • Delivery Support: Provide administrative support to the Head of Delivery, including scheduling (client/external) meetings, preparing presentations and proposals, and maintaining collateral. Provide administrative support to the Project Team, including exporting SAP reports (e.g., PS21B, Project Milestones).
  • Support Delivery Events: Assist in organizing Delivery team events, trade shows, and conferences (both locally and regionally). Coordinate logistics, manage registrations, and provide on-site support when necessary.

 

Service Admin

  • Schedule and Expense Management: Organize and maintain calendars, schedule meetings with internal/ external stakeholders, processing of expenses for Head of Delivery (or multiple executives)
  • Travel Arrangements: Plan and book travels for the team, including flights, accommodation, and ground transportation.
  • Office and admin management: Stock and replenish office and pantry supplies; handle documentation and filing of key contracts; new hire onboarding administration.
  • Providing administrative support for efficient day-to-day operations.
  • Perform other duties as required by the business.
  • Maintain accurate tracking of staff headcount and office keypresses.
  • Ensure timely submission of monthly staff manhour reports.
  • Ensure accurate and timely processing of administrative paperwork, including ePRs, GRDs, Kofax billings, and dispatch records.
  • Maintain accountability for all job requests and ensure proper documentation flow.
  • Track and document security-controlled items and maintain comprehensive records of office and IT assets.

 

Qualities We Value

 

  • More than 5 years of experience in business administration/ executive assistant role
  • Knowledge in Accountancy, Business Administration, or equivalent
  • Experienced in SFDC reporting, systems, and analysis
  • Proficient in software tools and financial modeling; experience is an advantage
  • Outgoing, independent, and possessing strong people skills
  • Excellent presentation and writing skills
  • Working location is in Jurong East
