The role ensures smooth execution of business operations, compliance with internal governance requirements, effective coordination across stakeholders, and support for staff engagement and welfare initiatives.

 

This position plays a critical role in maintaining operational efficiency, supporting audits and compliance activities, and enabling the Business Unit to focus on its core cybersecurity product and delivery objectives.

 

Key Responsibilities:

Business Operations & Administration

  • Provide end‑to‑end administrative and operational support to the Line of Business, including coordination of meetings, documentation, approvals, and follow‑up actions.
  • Maintain accurate records of operational tasks, handovers, and action items to ensure timely closure and accountability.
  • Support management and team members in day‑to‑day administrative matters including manhours clocking and travel management.

 

Procurement, Finance & Vendor Coordination

  • Support procurement activities including RFQs, purchase orders, invoice tracking, and coordination of goods receipt.
  • Liaise with vendors, finance, and internal stakeholders to resolve procurement and billing matters in a timely manner.
  • Ensure proper documentation and compliance with internal procurement processes.

 

Governance, Audit & Compliance Support

  • Provide coordination and administrative support for internal audits, compliance reviews, and governance‑related activities.
  • Assist in the collation, maintenance, and submission of audit documents and evidence.
  • Support adherence to internal policies, procedures, and regulatory requirements.

 

Facilities & Infrastructure Coordination

  • Coordinate facilities‑related matters including office upkeep, infrastructure works, and access arrangements.
  • Act as the point of contact for vendors and internal teams on facilities or infrastructure‑related activities.

 

Staff Welfare & Engagement

  • Plan and coordinate staff welfare and engagement activities such as celebrations, townhalls, and appreciation events.
  • Support welfare committees or engagement teams in organising activities that promote team cohesion and morale.

 

Documentation & Reporting

  • Prepare, maintain, and update operational documents, reports, presentations, and organisational materials.
  • Support management reporting by consolidating inputs and preparing presentation materials as required.

 

Qualifications and Skills:

  • Strong organisational and coordination skills with the ability to manage multiple tasks efficiently.
  • Good understanding of administrative operations, procurement processes, and internal controls.
  • High attention to detail and accuracy in documentation and reporting.
  • Effective written and verbal communication skills.Proficient in Microsoft 365 applications (Outlook, Excel, PowerPoint, Teams, SharePoint).
  • Ability to handle sensitive information with discretion and professionalism.
  • Proactive, reliable, and service‑oriented.
